•1 - The first code assigned when the Collect Code field is blank and a minimum payment is missed within a 28-day billing cycle.
•2 - Assigned when the account has a Collect Code 1 and a minimum payment is missed within a 28-day billing cycle.
•3 - Assigned when the account has a Collect Code 2 and a minimum payment is missed within a 28-day billing cycle.
•A - Assigned when the account has a Collect Code 3 and a minimum payment is missed.
•B - Assigned when the account has a Collect Code A and a minimum payment is missed. Collect Code B is the last Collect Code assigned by the system.
NOTE: Collect codes are assigned to accounts AFTER the statements have been printed.
Although the above Collect Codes are system-generated, they may be manually changed to speed up or slow down the aging process. If the collect code is manually changed on an account, a note will be placed on the Account Detail. The line of detail will include the AR date of the change, the initials of the employee who made the change, the time the change was made, the old collect code and the new collect code.
Private Pay accounts begin aging faster than insurance accounts, but once insurance has paid, these accounts become Private Pay and fall into the normal aging process.
The aging process for Private Pay accounts begins after discharge when the First Time Statement is printed. If a payment has not been made within 28 days after the statement is produced, Collect Code 1 will be assigned to that account. A designated minimum payment will stop the Collect Code from advancing, and table settings will allow the codes to reset upon payment.
Insurance accounts will not begin aging until all insurance claims have been paid or rejected. Insurance rejection may be done automatically by the system or manually through receipting. If a minimum payment has not been received 28 days after notification that insurance has been paid or rejected, the account will receive it's first Collect Code. The normal aging process begins at this point but may be altered by manually changing the Collect Code.
